AidMap is operated by RAXX BEATS STUDIOS LLC. To tell you which assistance programs you may qualify for, we have to ask about your household, your income, and your situation. This page explains exactly what we do with those answers.

The short version

  • We ask only for what a program actually tests. Every question can be skipped.
  • We do not ask for a Social Security number, a bank account, or a payment card to screen you.
  • We do not sell your information, and we do not sell leads to anyone.
  • You can export or delete everything you have entered, at any time.

1. What we collect

Almost everything we hold is what you type into the questionnaire. That can include:

  • Account: your email address, a hashed password, and sign-in timestamps.
  • Location: ZIP code, city, county, and state. We do not ask for your street address in order to screen you, and location sharing from your device is never required.
  • Household: how many people live with you, their relationship to you, and their ages.
  • Financial: income sources and amounts, monthly expenses, and savings if you choose to enter them.
  • Circumstances: your current health coverage, whether you have unpaid medical bills, and whether your household includes a veteran, a student, a pregnant person, a senior, or someone with a disability.
  • Citizenship category: only the broad category that certain federal programs test. We never ask for, and never store, immigration documents, case numbers, or alien registration numbers.
  • Applications: which programs you added to your plan, their status, and any notes you write.
  • Technical: IP address and browser information, used for security, rate limiting, and audit logging.

We deliberately do not ask about your medical diagnoses. Where a program depends on disability, we ask only whether one exists.

2. How we use it

  • To screen your household against each program’s published eligibility rules.
  • To explain why you matched, so you can spot an answer that needs correcting.
  • To build your document checklist and track applications you choose to add.
  • To notify you about deadlines and newly matching programs, if you opt in.
  • To keep the service secure and to investigate abuse.

We do not use your answers to build an advertising profile, and we do not use them to train models.

3. Who we share it with

We do not sell your personal information, and we do not pass your details to assistance programs on your behalf. When you apply for a program, you go to that organization’s own official application and give them the information they ask for directly.

We share information only with:

  • Infrastructure providers who host the application and its database under contract, and who may not use your data for their own purposes.
  • Law enforcement, where we are legally compelled and the demand is valid.

4. How long we keep it

Your profile is kept while your account is open, so you do not have to re-answer everything on your next visit. When you delete your account we immediately mark it deleted and stop using it, then permanently purge it within 30 days. Security and audit logs are retained separately for up to 12 months.

5. Your choices

  • Skip anything. A skipped question means we tell you a program needs more information, rather than guessing an answer for you.
  • See and correct. Every answer is editable, and changing one re-runs your results.
  • Export. You can request a full copy of your data in a machine-readable format.
  • Delete. You can delete individual answers or your whole account.

Depending on where you live, you may also have rights under the GDPR or the CCPA, including the right to object to processing and the right not to be discriminated against for exercising a privacy right. Write to privacy@aidmap.raxxware.com.

6. Security

Traffic is encrypted in transit. Passwords are hashed, never stored in a readable form. Access to production data is restricted and privileged actions are written to an audit log. No system is perfectly secure, so we also practise data minimisation: the less we hold, the less there is to lose.

7. Children

AidMap is intended for adults applying on behalf of a household. We do not knowingly create accounts for children under 13. Children are listed as household members with an age and a relationship only, because household composition changes what a household qualifies for.

8. Changes

If we change this policy in a way that materially affects how we handle your information, we will tell you before the change takes effect.
